Visa Information

Citizens of certain countries are required to obtain a visa to enter Japan. Please check the website of the Ministry of Foreign Affairs of Japan (MOFA) to know if you need to obtain a visa and the visa application procedures:

• Exemption of Visa
  (Short-Term Stay)
• VISA / Residing
  in Japan

If your nationality is listed on the "Exemption of Visa (Short-Term Stay), you do not require visa to enter Japan for short-term stay.

If your nationality is not listed, the organizer will prepare the documents that should be arranged by the inviting person in Japan, only for the authors and their family members who paid registration fee.
And the period of your stay must be in a maximum of 7 days (including conference period (5 days), arrival & departure day in Japan).

Before you apply for assistance, you are required to take the following steps.

1. Complete your registration with full payment of the registration fee from following link:

   • * Visa support is only for the authors at IPEC-Niigata 2018.
   • * If you are not authors, please take tourist visa by yourselves.
2. Book a flight
3. Reserve a hotel
4. Download visa application form by clicking “Visa application” button on the main menu in your account after log-in from following link:

   User Login

   • * Please note that the button of “Visa application” will NOT appear until you complete your registration and payment.
5. Submit filled visa application form to IPEC-Niigata 2018 Visa Support Office (visa-application@t-e-i.co.jp) by e-mail.
6. IPEC-Niigata 2018 Visa Support Office will issue the document for visa application and sent you by express courier.
   • *The documents to be prepared vary based on the applicant's nationality and will be prepared according to guidelines of MOFA.
   • *Please note that it will take around 10 days to send out the document after receiving the completed application form.

* If you need invitation letter from IPEC-Niigata 2018 other than visa purpose, please also send visa application form to IPEC-Niigata 2018 Visa Support Office (visa-application@t-e-i.co.jp) by e-mail.
