Participant Pass

For security precautions, before 9: 00AM, only IPEC 2014 participants are allowed to enter the conference center.
Therefore, those who get in the conference center before 9:00AM are required to show their name tag at the entrance of the building.
If you arrive at the conference center before 9:00AM on the first day you come to the conference, please make sure to print out the "Participant Pass" and present it at the entrance of the building, as a substitute for the name tag.

Registration for Authors (to Upload Papers)

Authors who would like to submit their manuscript are required to register before March 7, 2014.
When authors submit their manuscript(s), they will be asked to enter their registration number and "Paper submission key" that will be issued after completing the registration.
The paper submission key will not be issued after the due date of manuscript submission.

Registration for Participation

Those who wish to attend the Conference are urged to register before March 31, 2014 to obtain the early-bird registration fee and asked to apply using the online registration. The deadline for online registration is May 1, 2014. Any registration forms received by our office after this date will not be processed until you arrive at IPEC-Hiroshima 2014.

Fees

Both your registration and the payment must be confirmed at the Registration Office prior to deadline.

Children can receive a discount for registration fee as Accompanying Person, and kids' meal will be served on the banquet.

*7: Additional Paper Submission Fee only authorizes one author to submit one more papers. It does not authorize the admission of co-authors to the conference. (They need to register themselves.)

Important Notice for Authors

- For the papers to be included in the program, each paper must have one Regular Rate registration completed by one of the authors, regardless of the author’s academic status or the number of other accepted papers. As a token of authorization of a paper submission, "Paper Submission Key" will be issued when you have completed registration at the Regular Rate. This Key will be required when you submit the full paper and the Key is not issued for those who register at the Discount Rate.

- Each Key can be used for one submission only and the Key should be the one obtained by one of the authors of the paper.

- If you would like to submit two papers, please apply for "additional paper" instead of making two registrations, so that you can obtain the discounted rate and you will receive two submission keys.

- If you would like to submit three or more papers, please register twice. When you make a 2nd registration, please add "2" after your family name.

- The rate of additional paper fee varies by the category in which you register. For details, please refer to the table of "Additional Paper Fee".

- Please be noted additional Paper Submission Fee only authorizes the submission of another paper. It does not allow the admission of co-authors to the conference. (They need to register themselves.)

- Deadline for the author registration is March 7, same date as the deadline for full paper submission.

After May 2, you will be asked to do on-site Registration at the registration desk during the period of IPEC2014. We would appreciate your cooperation to register as early as possible.

PAYMENT

Payment must be made in Japanese yen and can only be made by Credit Card (VISA, MasterCard, Diners Club, AMEX or JCB).
If you need an invoice for the payment, please inquire to the Registration Office: ipec2014-reg@ics-inc.co.jp

CONFIRMATION

After you complete on-line registration and payment by credit card, a confirmation e-mail will be sent to your registered e-mail address automatically.  
Please print out and present the confirmation to the registration desk at the conference site to receive the conference materials and a printed receipt.
*If you do not receive it within 24 hours, please contact the Registration Office.

CANCELLATION

If you cancel your participation in the conference, please be sure to notify the Registration Office by e-mail or fax immediately. The following cancellation fee will apply, based on the date when the office receives notification of cancellation. All refunds will be made after the conference. (We will make a deduction of bank transfer fee from the amount to be paid back.)

When written notice of cancellation received:

Until February 28, 2014 20% of the registration fee plus bank handling charge
March 1 through April 30, 2014 50% of the registration fee plus bank handling charge
May 1, 2014 100% of the registration fee (No refund)
